Three-way matching: check the order, receipt and bill
Follow ERPClaw's purchase-order-linked invoice path to compare supplier billing with goods received before posting.
Use the purchase-order-linked workflow for a bill covering ordered goods. create-purchase-invoice checks the quantity being invoiced against received quantities and quantities already invoiced for that order. submit-purchase-invoice checks the match again before posting.
The books say no
In the recorded example, Northfield billed for 300 HX-200 cartridges at $42 each, a $12,600 bill. The purchase order existed, but no cartridges had been received. ERPClaw refused the bill and nothing posted.
The response identified the ordered quantity, received quantity, quantity already invoiced and quantity on the current bill. That gives the buyer a concrete receipt discrepancy to resolve.
Follow the linked path
- Check the purchase order and its recorded goods receipts.
- Use
create-purchase-invoicewith the purchase order and the supplier’s bill details. - Review the draft and resolve any receipt or quantity mismatch.
- Use
submit-purchase-invoiceto submit the reviewed bill.
For a bill captured from a file, bill capture creates a standalone draft. Use the purchase-order-linked path above when the bill needs a goods-receipt match.
